Spare Parts Management

The access and availability of approved spare parts are crucial for an undisturbed operation of any plant or facility. ​

The availability of sufficient spare parts ensures further the shortest unplanned shutdowns and unavailability of any production related assets.

Unfortunately, the setup of a functional spare part concept and system is not trivial, but requires the establishment of certain ground rules, strategic considerations, and process knowledge. Of course existing tools and databases are generally customizable to fit the needs, or if outdated can surely be renewed or refreshed. A well set-up preventive maintenance and inspection program helps to define the spare part needs and to launch procurement activities in due time, too.

While for facilities in operation the spare part needs are quite stable, for projects in the design, construction, and commissioning phases the required spare parts vary depending on the project phase and project progress. Larger schedule delays often require a constant re-assessment of the spare part situation and concept.

To have spare parts "ready to be procured" can also be a blocking point for a streamlined procurement process. Depending on the Quality and Safety requirements the required, and thus to be specifically ordered, inspections and certificates of the spare parts can be very different, and need to be clarified and confirmed prior to the order placement.
